What the VRBO Integration Syncs to Your TV Screen
Once your VRBO iCal link is connected to Hello Guest Screen, the following information updates automatically for every reservation — with zero manual work required between bookings.
| What Syncs from VRBO | How It Appears on the TV Screen |
|---|---|
| Guest First Name | Personalized greeting — Welcome, the Johnson Family! — pulled from the VRBO reservation calendar event |
| Check-In Date | Screen activates 2 hours before the VRBO check-in date automatically |
| Check-Out Date and Time | Displayed every time the TV is turned on throughout the stay — critical for longer VRBO bookings |
| Property Name | Your VRBO listing name appears on screen to confirm the guest is at the right property |
| Booking Duration | Screen remains personalized for the full booking period and resets 2 hours after checkout |
| Automatic Reset | After the VRBO checkout time, the screen clears and prepares for the next incoming reservation |
VRBO Hosts and Hello Guest Screen — What Makes This Combination Work
VRBO guests tend to book longer stays and travel in larger groups than typical Airbnb guests. A family of six booking a beach house for two weeks has very different arrival needs than a solo traveler booking a studio for two nights. They have more luggage, more people to coordinate, and more questions — about WiFi, parking, bed configurations, checkout procedures, and house rules.
Hello Guest Screen addresses all of these at once. The moment any member of the group turns on the TV, they see the WiFi password, the checkout time, the house rules QR code, and a personalized welcome message — without anyone having to ask the host. For longer VRBO stays, this matters even more: the screen is visible every day of the stay, not just at check-in.
The VRBO guest demographic is also more likely to be families or groups who are unfamiliar with short-term rental tech. A TV welcome screen is immediately intuitive — they know how to read a TV. They do not need to download an app, navigate a website, or find a welcome book buried in a drawer.
🏠 VRBO Hosts Report Fewer Guest Questions After Adding Hello Guest Screen
The most common guest messages VRBO hosts receive — What is the WiFi password? What time is checkout? Where are the house rules? — are all answered automatically on the TV welcome screen. Hosts who use Hello Guest Screen report significantly fewer inbound messages during the stay, which matters especially for longer VRBO bookings where the stay can last one to four weeks.
What Your VRBO Guests See on the TV
When your VRBO guests turn on the TV at check-in, they see a full-screen personalized welcome display — with reservation data pulled automatically from your VRBO calendar. The family name is pulled from the VRBO reservation and the check-out date comes from the VRBO booking dates. WiFi, background image, message, and QR code are set once per property in Hello Guest Screen and apply to every booking automatically.

How to Connect Hello Guest Screen to Your VRBO Listing
The VRBO connection uses iCal sync — a standard calendar export that VRBO provides for every listing. Setup takes under 5 minutes.
Step 1
Log In to Your Hello Guest Screen Dashboard
Go to helloguestscreen.com and sign in. If you are new to Hello Guest Screen, start your 14-day free trial — no credit card required. Navigate to Settings, then Integrations from the main dashboard.
Step 2
Get Your VRBO iCal Link
Log in to your VRBO owner account at owner.vrbo.com. Go to your listing, then select Calendar. In the Calendar section, look for the option to Export Calendar, Sync Calendar, or Import/Export — the exact label varies by VRBO account version. Click Export and VRBO will generate a unique iCal URL for your listing. It is typically a webcal:// or https:// link ending in .ics. Copy this link.
Step 3
Paste the iCal Link into Hello Guest Screen
In your Hello Guest Screen dashboard under Integrations, select VRBO and paste the iCal URL you copied. Click Connect or Save. Hello Guest Screen will immediately import your upcoming VRBO reservations from the calendar.
Step 4
Verify the Sync
After saving, go to your Hello Guest Screen property preview. Your next upcoming VRBO guest’s reservation dates should already be showing. If you have an active booking, the guest name will already be visible on the welcome screen preview.
Step 5
Add Guest Names Manually If Needed
VRBO includes the lead guest name in the iCal export for most reservation types. For group bookings, the name of the primary guest who made the reservation appears on the TV screen. If a guest name does not appear automatically, it can be entered manually in your Hello Guest Screen dashboard for that reservation date. The HGS support team can help troubleshoot any iCal sync issues.
Managing Multiple VRBO Listings?
If you manage more than one VRBO listing, each listing has its own iCal URL. Connect each iCal link to the corresponding property in your Hello Guest Screen dashboard. All properties are managed from a single Hello Guest Screen account — each with its own welcome screen customization and its own VRBO calendar sync.
📋 Listing on Both Airbnb and VRBO?
Hello Guest Screen supports multiple calendar integrations on the same property simultaneously. Connect both your Airbnb iCal and your VRBO iCal to the same property screen. Hello Guest Screen merges the two calendars and updates the TV display based on whichever booking is currently active — whether it came from Airbnb or VRBO. This is the simplest multi-platform setup for hosts who do not use a PMS.
Listing on VRBO and Airbnb — How to Manage Both
Many vacation rental hosts list on both VRBO and Airbnb simultaneously. Hello Guest Screen handles this in two ways depending on whether you use a PMS or not.
| No PMS — Direct iCal Connection | With PMS (Guesty, OwnerRez, etc.) |
|---|---|
| Connect both the Airbnb iCal and the VRBO iCal to the same HGS property | Connect once via your PMS — covers Airbnb, VRBO, and all other channels automatically |
| HGS merges both calendars and shows the active booking on the TV | Cleaner setup — one connection, no separate iCal links to maintain |
| Best for: hosts managing 1 to 3 properties without a PMS | Best for: property managers with 3 or more properties on multiple channels |
| Works immediately — no additional software required | Requires a Guesty, OwnerRez, Hostfully, or similar PMS account |
Everything Included in the VRBO Integration
The VRBO iCal integration is included in all Hello Guest Screen plans at no extra cost. Here is everything that comes with it.
👋
Guest Name Display
Guest first name is pulled directly from the VRBO reservation and displayed as a personalized greeting on the TV welcome screen — automatically, with every new booking.
📅
Check-In and Check-Out Sync
Reservation dates from VRBO determine exactly when the screen activates and resets. The screen turns on 2 hours before check-in and clears 2 hours after check-out.
📶
WiFi Password on Screen
Your WiFi network name and password display prominently on the welcome screen from the moment of check-in — the most-asked question by arriving guests, answered before they ask it.
🕐
Checkout Time Always Visible
Checkout time from the VRBO booking is displayed every time the TV is turned on throughout the stay. Late check-outs drop significantly when guests see the time every day.
📍
QR Code to House Rules
Link your QR code to any URL — house rules, a digital guidebook, local restaurant recommendations, or a checkout checklist. Guests scan it from the TV screen on arrival.
🏡
Remote Property Management
Hello Guest Screen connects to your VRBO calendar and updates the TV display automatically for each new booking — no need to visit the property or update anything manually between guests.

Frequently Asked Questions — VRBO Integration
Answers to the most common questions from VRBO hosts about connecting Hello Guest Screen.
Hello Guest Screen connects to VRBO using iCal sync — the standard calendar export format VRBO provides for every listing. In your VRBO owner account at owner.vrbo.com, go to your listing’s Calendar section and find the Export Calendar option. Copy the iCal URL and paste it into your Hello Guest Screen dashboard under Settings, then Integrations, then VRBO. Once connected, your VRBO reservation dates sync automatically to your TV welcome screen.
Yes, for most VRBO reservation types. VRBO includes the lead guest name in the iCal export for standard bookings. For group bookings, the name of the primary guest who made the reservation is used. If a guest name does not appear automatically — which can happen on some older VRBO account types — you can enter it manually in your Hello Guest Screen dashboard for that reservation. The Hello Guest Screen support team can also help verify the iCal sync is working correctly.
Yes. Hello Guest Screen supports multiple simultaneous iCal connections on the same property. Connect your Airbnb iCal and your VRBO iCal to the same property screen in your Hello Guest Screen dashboard. The system merges both calendars and activates the correct welcome screen based on whichever booking is currently active — whether it came from Airbnb or VRBO. This is the recommended setup for hosts on multiple platforms who do not use a PMS.
Yes. The welcome screen resets automatically 2 hours after the VRBO checkout time. The outgoing guest’s name and details are cleared and the screen prepares for the next incoming reservation. If a new VRBO booking begins the same day, the new guest’s information activates 2 hours before their check-in time. No manual changes are needed between reservations.
Yes. Each VRBO listing has its own iCal URL. Connect each listing’s iCal to the corresponding property in your Hello Guest Screen dashboard. All properties are managed from a single Hello Guest Screen account — each with its own customized welcome screen, its own WiFi details, and its own VRBO calendar sync. Each screen is billed at $14.99 per month, with volume pricing available for 5 or more screens.
If you only list on VRBO — or VRBO and Airbnb without a PMS — the direct iCal connection is the simplest and fastest setup. If you manage 3 or more properties across multiple platforms and already use a PMS like Guesty, OwnerRez, or Hostfully, connecting Hello Guest Screen through your PMS is recommended instead. A PMS connection covers all channels through one integration and provides more complete guest data than individual iCal links.
Yes — and longer stays are where Hello Guest Screen is most appreciated. For a family staying 10 nights in a VRBO beach house, the TV welcome screen shows the WiFi password, checkout time, and house rules QR code every single day of the stay. Guests who forgot the WiFi password on day 6 or want to check checkout time on their last morning find everything they need on the TV without contacting the host. Hosts with VRBO properties consistently report a significant reduction in mid-stay guest messages.
Yes. The VRBO iCal URL is a read-only link that provides reservation dates and guest names. It does not contain payment information, guest contact details, or any sensitive personal data beyond what appears on the welcome screen. Hello Guest Screen uses this link only to read upcoming reservations — it cannot make any changes to your VRBO listing, calendar, or account.
