What the Airbnb Integration Syncs to Your TV Screen

Once you connect your Airbnb calendar to Hello Guest Screen, the following information updates automatically for every reservation — with zero manual work required between bookings.

What SyncsHow It Appears on the TV Screen
Guest First NameDisplayed as a personalized greeting: Welcome, Sarah! — pulled directly from the Airbnb reservation
Check-In DateShown as the active reservation start date — screen activates 2 hours before check-in automatically
Check-Out Date and TimeDisplayed prominently every time the TV is turned on — reduces late check-outs significantly
Property NameYour Airbnb listing name confirms the guest is in the right property
Booking PeriodScreen shows the personalized welcome for the full duration of the stay — then resets automatically after check-out
Screen ResetTwo hours after check-out, the screen clears previous guest details and prepares for the next booking

When Does the Screen Activate and Deactivate?

The personalized welcome screen appears 2 hours before the guest’s Airbnb check-in time. It disappears 2 hours after the check-out time. Between reservations, the screen either shows a neutral property display or goes to standby depending on your settings. This timing is automatic — driven entirely by the Airbnb calendar data.

🏠 Zero Manual Work Between Bookings

Once your Airbnb iCal link is connected, Hello Guest Screen checks your calendar regularly and updates the welcome screen automatically for each new reservation. When a guest books your Airbnb, their name appears on the TV screen before they even arrive. When they check out, the screen resets automatically for the next guest.

What Your Airbnb Guests See on the TV

When your Airbnb guest turns on the TV for the first time, they see a full-screen personalized welcome display. The guest name is pulled automatically from your Airbnb reservation. Everything else — WiFi, check-out time, message, QR code — you set once in Hello Guest Screen and it applies to every reservation.

How to Connect Hello Guest Screen to Your Airbnb Account

The Airbnb connection uses iCal sync — the standard calendar export format Airbnb provides for every listing. Setup takes under 5 minutes.

Step 1

Log In to Your Hello Guest Screen Dashboard

Go to helloguestscreen.com and sign in to your account. If you do not have an account yet, start your free 14-day trial — no credit card required. From the dashboard, navigate to Settings, then Integrations.

Step 2

Get Your Airbnb iCal Link

Log in to your Airbnb host account. Go to your listing’s Calendar settings. Scroll to the bottom and find the Availability Settings or Calendar Sync section. Click Export Calendar. Airbnb will generate a unique iCal URL for your listing — it looks like a webcal:// or https:// link ending in .ics. Copy this link.

Step 3

Paste the iCal Link into Hello Guest Screen

In your Hello Guest Screen dashboard under Integrations, select Airbnb and paste the iCal URL you copied from Airbnb. Click Connect or Save. Hello Guest Screen will immediately import your upcoming reservations from the calendar.

Step 4

Verify the Sync

After saving, go to your Hello Guest Screen property preview. You should see your next upcoming Airbnb guest’s name and reservation dates already populated on the welcome screen. If you have a current active booking, the guest’s name will already appear.

Step 5

Add Guest Names Manually If Needed

Airbnb iCal exports include guest names in the calendar event title for most reservation types. If a guest name does not appear automatically, you can add it manually in the Hello Guest Screen dashboard for that specific reservation date. The HGS support team can also help you verify your iCal sync is working correctly.

Managing Multiple Airbnb Listings?

If you manage multiple Airbnb properties, each listing has its own iCal URL. Connect each listing’s iCal to the corresponding property in your Hello Guest Screen dashboard. You manage all properties from a single Hello Guest Screen account — each with its own customized welcome screen and its own Airbnb calendar sync.

📋 Also Works with VRBO and Booking.com

Hello Guest Screen supports multiple calendar integrations simultaneously. You can connect your Airbnb iCal, your VRBO iCal, and your Booking.com iCal to the same property. The system merges all bookings into a single calendar and updates the welcome screen based on whichever booking is currently active.

Why Airbnb Hosts Use Hello Guest Screen Instead of a Manual Welcome Sign

See how Hello Guest Screen compares to the manual alternatives that most Airbnb hosts start with.

Everything Included in the Airbnb Integration

The Airbnb iCal integration is included in all Hello Guest Screen plans at no extra cost. Here is everything that comes with it.

👋

Guest Name Display

Guest first name is pulled directly from the Airbnb reservation and displayed as a personalized greeting on the TV welcome screen — automatically, with every new booking.

📅

Check-In and Check-Out Sync

Reservation dates from Airbnb determine exactly when the screen activates and resets. The screen turns on 2 hours before check-in and clears 2 hours after check-out.

📶

WiFi Password on Screen

Your WiFi network name and password display prominently on the welcome screen from the moment of check-in — the most-asked question by arriving guests, answered before they ask it.

🕐

Checkout Time Always Visible

Checkout time from the Airbnb booking is displayed every time the TV is turned on throughout the stay. Late check-outs drop significantly when guests see the time every day.

📍

QR Code to House Rules

Link your QR code to any URL — house rules, a digital guidebook, local restaurant recommendations, or a checkout checklist. Guests scan it from the TV screen on arrival.

🏡

Remote Property Management

Hello Guest Screen connects to your Airbnb calendar and updates the TV display automatically for each new booking — no need to visit the property or update anything manually between guests.

Airbnb includes guest names in iCal exports for most reservation types. If a guest name does not appear, it may be because Airbnb did not include it in that specific export format. The Hello Guest Screen support team is also available to help troubleshoot any iCal sync issues.
